Last year the track was being shut down--- I get that. I would have needed an SUV on that track in its utter disarray of repair. (It probably should have been closed years and years ago).

Here's a question: I can't comprehend if a deposit and commitment was made by the track, how can they cancel our event? That's what I cannot understand. Maybe i'm assuming the organizers left a deposit and completed the paperwork to secure the date. If so, Do these tracks have no business ethics??? Or did they merely "pencil us in"? Or a verbal commitment?


And a mere question --- why not find another track to accommodate the convention? Is that feasible?? I'm not sure what tracks are in the VA area. Or are not many folks interested in a track day?? Sometimes the responsibility in organizing the convention is that there are backup plans put in place. Definitely not putting anyone down whatsoever, again these events are a lot of work to organize, just trying to understand. But then again, maybe members don't want track days?

At this point, i'm ready to hear some speculation.
Already have a PowerTour Hot Rod event booked- June 6-13 and I would like to know if the next weekend I'll be at the 2015 convention or not.
AND.........Some of us older folks have kids and such, we have to plan ahead so we know what to do w/them.

I can only speak for myself, but a track day is absolutely not a make a break to go to the convention....if i want to go race i'll go race. No need to go to VA for that.......

Well fellas, I think I'm going to pass for this year.
One of the other threads (that is now closed) said we all have to be very patient. Patient? We have not had an update in over two weeks. As mentioned, some of us need to plan far ahead for this trip --- and a 600 mile one way drive will take an extra day each way. It's a total bummer for me and a few others I spoke to via PM and text.

Y'all have fun now.

Rec'd a PM from Madtec.
Nice of him to get back to me, and I do appreciate that.

Per the PM there is NO track day. Other events were scheduled for other organizers. Sucks.

Similar note: I purchased and hang onto my old SE-R once a year I can drive it on the track at the convention (and other local events)......VS.....having a newer, higher performance "track car". (two years in a row I can't enjoy it). Anyone want to buy a 96 SE-R with 86k miles on the clock..? VE powered with MANY upgrades. AC too. I think I'm going to upgrade to a mustang or camaro. PM me.

Track Event Clarification:

First off, I have asked the mod's to close other post as the track event is NOT going to happen. All of the planning have been discussed with Convention planning members so here is the reasons for this decision.

Initially the convention date was planned based on the initial track (road course and Go karts), Drag, and Hotel schedules. So as the Convention date was finalized we started planning and posting schedules, so initially, (Sept/Oct time frame) we were on the schedule for the "road course" event but the track manager needed to juggle around some schedules with BSR (Government rents the whole track for tactical training) and asked that contact him mid January to make sure the schedule did not change.

As it turns out, there is an SCCA event on THAT day; (Friday track setup and practice run, Sat is the main event) and this event is for lic racers only which puts a majority of members at a disadvantage. We could not move our event to another day because of the above mentioned BSR training, so that was not an option

In order to rent the track, the club will have to be incorporated as an LLC; they cannot rent to a single individual, here is the response from the track manager:

I believe we could do a straight rental of the Shenandoah circuit and you could bring your own instructors. I can not supply any, but would pass the word that you would like some. If we did a rental, you would purchase a separate insurance certificate to insure your event. The rental would also need to be made out to a company or LLC, not a private individual. Your cost for such and event would approach about $8,000- $9,000 for the day. That would get you the track, corner workers, EMS, and a gate worker.

We would still need to provide instructors based on how many individuals are willing to sign up and I am NOT going to rely of individuals who can promise instructors or even show up to the event.

I would NOT going to add undue pressure to come up or collect $$ from individuals for the event. I have enough going on with daily family life, work, school, and trying to buy a new house. So if I do not respond to every post don't be offended. Planning an event like this is very hard work so I am not going to waste my time and appease to anyone who wants to pout and complain that we are not having a road course event, if need be I will provide pacifiers for anyone who needs it.

This is convention, like many others before it is more like a family reunion, we get together and just have fun so let's continue with that and move on.

Right now I am gathering more info on an alternative event for Friday which would be a Free day or we can gather a group to an adventure at Harpers Ferry rafting, West Virginia whitewater tubing, zip lines, adventure park, stand up paddle boards, Shenandoah and Potomac Rivers | River Riders

Thanks for the reply. Couple of things for FUTURE events OR anyone that wants to take on the HUGE responsibility to organize it.

It is not my intention to create animosity here, but this needs to be thrown out there so we can have SUCCESSFUL EVENTS in the future years. So please do not take too much offense fellas.

1. LLC's can be created for peanuts. In fact a mere $100 will create an LLC in Georgia and a $35/annual renewal cost. Your state may vary.
2. Yes, the convention is a sort of family reunion, I agree. However, we have ALWAYS had track days. Always. Now two years in a row?
but what is done is done, so I won't add any more to that subject

If y'all need any suggestions and such on the LLC for future events, let me know. I can kinda walk you through some of the legal aspects of it. I'm not a Georgia Attorney (but sometimes pretend to be -- lol). Seriously, I managed a Georgia law firm and so know just enough.

I suspect the reason why the track wants an LLC is the liability factor.

------------ One other thing I want to throw out there. It has been brought up to me a few times over PM, over TEXT, and verbal communications. Hell it happened to me personally in 2013.

There are some newer folks that have attended these events that are sort of ruining them. Attitude. Gangster BS. Idiots.
Personally for me it was at the 2013 drag strip where I ran a brand new honda accord. 15.9 @90. not bad for a 4 cylinder, stock, auto. The jokers in the stand were talking smack at me for bringing a Honda. So bad that I had to park the car and confront them. None of them admitted to talking trash. Little punks.
Other folks mentioned gangster nonsense and pure idiots.

I certainly hope that if you know one of these morons, that you stand up and confront them. It is a matter of time that if this continues, someone will get hurt - injured - whatever. No i'm not threatening anything. Just saying this is likely to happen based on history of gatherings. thx.
